Motel software

Motel management software for late arrivals, walk-ins and one-person shifts

Roadside motels run on late arrivals, walk-ins and a phone that never stops. LodgingOs puts the front desk, the website, the phone and check-in in one system, so one person can run the property and still sleep. It is $199 a month per property, flat.

What motel software needs to do

Motel management software, also called a motel PMS, is the system that runs the property: reservations, check-in, room status, payments and the end-of-day close. A motel asks more of it than most hotels do. The desk is often one person, guests arrive late and without a booking, many stays are booked by phone, and the owner is usually the one covering the night shift.

So the test is simple: can one person run the place, and can the place keep taking guests when that person is asleep? LodgingOs is built around that.

Built for the late arrival

  • Mae, the AI phone agent, answers after hours or around the clock, quotes your live rates, holds the room and sends the guest a secure link to add a card.
  • Guests with a booking check themselves in from their phone: ID photo, payment, house rules and signature, then their room number.
  • A walk-in at midnight can check in on the lobby kiosk with no one at the desk: details, ID, a room, payment and a signed registration card.
  • Rooms with TTLock smart locks get a door code at check-in, cancelled again at checkout.

The front desk, without the clutter

  • Arrivals, in-house and departures on one screen, with who still owes money.
  • A tape chart of every room and night, where bookings can be moved, assigned and unassigned.
  • Housekeeping on a phone with no login: two taps per room, and damage or maintenance reported with a photo.
  • Out-of-order rooms and a history for every room.
  • Cash drawer shifts with an opening float and a closing count.
  • A Do-Not-Rent list by name or phone, checked at the desk and on online bookings.

Night audit that runs itself

The night audit posts each night's room and tax, marks no-shows, checks balances, closes open shifts, rolls the business date and builds the day's reports. It runs automatically every night, or by hand when you want to close early. Missed arrivals follow your no-show rule: a prepaid stay keeps its payment, otherwise one night's room and tax is charged to the card on file, and a rate plan can set its own fee.

Payments, cards on file and deposits

  • Cards at the desk on a Stripe reader, online when the guest books, or during self check-in.
  • Several cards on file per stay, charged later without the guest present, and incidentals posted to the room.
  • Deposit holds on a saved card, renewed on long stays and released a set time after checkout so housekeeping can check the room first.
  • Full or partial refunds from the folio.
  • Every payment settles to your own Stripe account and your bank.

Weekly stays and regulars

Many motels live on longer stays. Weekly and monthly rates are discounts on the nightly price, nightly charges post on their own through the stay, and a guest can be offered an extension by email. Company stays can be billed to the company, with a ledger of what each one owes.

Your own bookings, not just the OTAs

Each property gets its own website and booking engine, paid into its own Stripe account with no commission. Booking.com, Expedia and Airbnb stay connected through the Channex channel manager, so rates and availability match everywhere and a room sold on one is closed on the rest.

Reports a motel owner actually reads

Occupancy, average daily rate and RevPAR, where bookings came from, a daily flash report, payments by method, revenue and tax, who owes you money, money paid ahead, and a QuickBooks journal export for the bookkeeper.

Secure without getting in the way

Staff and manager roles keep refunds, rates and settings with the manager. Sign-in can require a code from an authenticator app, a front-desk computer can be trusted so the clerk is not asked every shift, and an idle desk locks behind a PIN.

Questions

Does it work for a motel with 20 rooms?

Yes. The price is the same per property whatever the room count, and setup for a typical property takes about an hour.

Can guests check in without staff?

Yes. Booked guests check in on their phone, and walk-ins can use the lobby kiosk. A person can still step in any time from the desk.

What happens to calls after hours?

Mae answers, quotes your live rates and holds the room with a card link. If a caller needs a person, she transfers the call to your desk line.

Can I bring my reservations over?

Yes. Upcoming reservations import from your current system's CSV export, with a preview before anything is saved.

Is there a contract?

No. It is month to month, and the first month is free.
